What does a virtual assistant do?

Discover admin tasks a virtual assistant can handle, what to keep with your team and how to start a clear handover. Includes a practical worksheet.

A virtual assistant handles agreed tasks remotely, such as organising an inbox, updating customer records, entering order details, coordinating appointments and preparing documents. For a business owner, the useful starting point is a repeatable piece of work with clear instructions and a named person to answer questions.

The role can be a few hours of help with a defined queue or a regular part-time allocation. The title alone does not tell you which skills, systems or decisions are included. Agree those details before giving access to your records.

Six tasks a business can hand over

TaskWhat to provideWhat your team reviews
Inbox administrationFolders, priorities, approved response wording and escalation rules.Complaints, unusual requests and any commitment outside the approved wording.
CRM updatesThe authoritative contact details, required fields and activity-recording rules.Conflicting records, duplicates and changes that need confirmation.
Order and data entrySource orders, destination fields, naming conventions and checking steps.Missing information, conflicting quantities and exceptions before an order moves forward.
Diary coordinationAvailable times, meeting types and rules for booking or rescheduling.Requests outside the agreed availability or involving a commercial commitment.
Document organisationTemplates, folder structure, version rules and permitted source documents.Content accuracy, unclear instructions and the final document where approval is needed.
Routine follow-upsThe contact list, reason for follow-up and approved message.Replies requiring judgement, a promise, a changed deadline or a decision.

Start with the work that has a clear input and an observable finished result. A task such as “enter these approved orders and flag missing information” is easier to delegate than “manage our operations”.

A real example of order administration

Sportex Clothing uses two RemoteSkills data-entry workers to transfer incoming email orders into SAP. This is a practical example of a recurring inbox-to-system workflow. Read the Sportex Clothing case study for the engagement described on our website.

What should stay with your business?

Your team should retain payment authorisation, bank-detail changes, refunds, professional decisions and final approvals. An assistant needs a clear route for asking about uncertain information, rather than being expected to guess.

Accounting preparation and legal administration need their own scope and supervision. General administration does not include accounting opinions, legal advice or formal submissions. See our accountancy-practice support and legal administration support for those workflows.

Choose the first task in five steps

  1. Name the queue. Identify one recurring workload, such as approved orders awaiting entry or CRM updates awaiting checking.
  2. Define the inputs. Say which records are authoritative and which system holds the completed work.
  3. Describe completion. List the required fields, checks and evidence. Agree where incomplete items should be recorded.
  4. Name the reviewer. Decide who answers questions and when they will review the first sample.
  5. Limit access. Provide only the permissions needed for the agreed assignment, with a process for removing access when it ends.

The task handover worksheet includes an illustrative order-entry example and a blank row for your own process. Keep confidential client records and credentials out of an initial enquiry.

How much does virtual-assistant support cost?

RemoteSkills flexible support starts from £10 per hour. A dedicated part-time worker is £695 per month for 20 hours per week, normally four scheduled hours each weekday. Final pricing depends on the role, experience, software, supervision and hours required.

Use the task list to compare the arrangements. Flexible hours can suit a defined or variable queue. A dedicated allocation can suit work arriving most weekdays. Include the time your own team will need for instructions, questions and review when assessing the fit. See current support pricing.

Where does the work take place?

RemoteSkills provides remote staff with a UK-managed client relationship and quality oversight. Working hours, communication, software familiarity and access are agreed for the role. UK-managed support does not mean that the worker is based in the UK.

How do you check the first assignment?

Review a small sample before extending the queue. Check it against the source, confirm that required fields are complete and look at the questions the assistant has raised. Update unclear instructions before increasing the workload.

At the next review, compare completed work, outstanding questions, corrections and the time needed for supervision. Those observations help you decide whether to continue, change the instructions or keep a task with your internal team.
