What the service covers
This is staffing support for bookkeeping preparation inside your existing practice workflow. A recurring assignment can combine transaction entry, document organisation, routine matching and follow-up under rules you supply.
Define the output for each task: entered records with source references, a matching schedule, a document status list or a set of questions for review. Your practice keeps accounting judgement, final approval, client responsibility and formal submissions. Payment approval and advice are outside a routine preparation assignment.
A sample monthly bookkeeping handoff
For an illustrative monthly client queue, agree a document cut-off and list of expected records. The worker organises the supplied invoices and receipts, enters clear transactions under the practice’s rules and prepares the agreed matching schedule.
Missing receipts, unfamiliar transactions and unmatched items remain on an exception list with their source references. Your reviewer answers those questions, checks the prepared records and approves the next stage. The completed-work summary makes it clear what is ready and what is still waiting. This is an example to scope together, not a promise of a particular turnaround or result.
Software, continuity and day-to-day control
Tell us the software, client entities and tasks involved. Whether you use Xero, QuickBooks, Sage or another platform, software familiarity and the required permissions must be agreed before work begins. Your documented workflow sets the standard for entry, evidence and escalation.
A dedicated part-time arrangement provides one worker for the agreed allocation. Discuss supervision, working times, communication and absence arrangements when scoping the role. Access should stay limited to the assignment and be reviewed when the work changes.
Bookkeeping support pricing
Flexible support starts from £10 per hour. A dedicated part-time worker is £695 per month for 20 hours per week, normally four hours per weekday. Final pricing depends on the role, experience, software, supervision and hours required.
Bring an approximate monthly transaction volume and an outline of the tasks. Include source quality, deadlines and the review time your team can provide. These details help define a workable allocation; the published rates are not a fixed price for an unlimited set of accounts.

The Mario Coaches case study describes an administrator and an accounting-support worker covering bank reconciliation, income and expenditure organisation, and expense review. It shows the types of tasks in an existing engagement. Your practice’s client mix, systems and review requirements determine its own scope.
